What are Clockwise Links?
Clockwise Links are a smarter way to schedule meetings with people outside of your organization. Clockwise Links help you find the best time to meet so you can schedule in a snap and preserve your Focus Time in the process.
Clockwise identifies the best time to meet by taking several factors into account. Some of these factors include:
- Preferred meeting hours
- Focus Time
- Avoids consecutive meetings
- Preserves your Travel Time
- Preserves your Lunch Time
How does it work?
Clockwise Links make it easy to schedule a meeting with anyone. Just set your preferences, send your link, and let Clockwise handle the rest:
1. Create your link
Set your preferences:
a. Name your meeting
b. Set the meeting preferences: duration of the meeting and when you want the meeting scheduled as well as what video conferencing tool you want to use.
c. Decide whether you want to maximize Focus Time, maximize free time, or set a balance of both. Here are some details about what those options mean. Maximum availability makes all your Focus Time bookable, Balance Availability and Focus Time let people book meeting slots only at the start or end of your Focus Time.
d. You can also click More options to display more meeting preferences:
e. Click Create Link. A link URL will be generated for you to copy and share right away
2. Share your link at any time
a. Your meeting link will always be available in your Clockwise sidebar to be copied and shared at any time.
b. From the sidebar, you can also manage your links: Scheduling Links > Manage
On your Clockwise Links dashboard, you can:
- Edit the username of your Clockwise Links at the top
- Mark a link as active or inactive using a toggle
- Delete a link Click Edit Link > More Options (this will open a window with options for your meeting > Scroll to the bottom of the page to click Delete Link
For each link, you will be able to further customize your meeting titles, the description of your meeting, the length of your meeting, the time frame for when you want the meeting to occur, and whether the meeting should respect your calendar's working hours or meeting hour settings.
When your guests click on the link on the Clockwise link you shared with them, they will be able to see your availability for scheduling. Clockwise will highlight your best times so your guest can choose a time on your schedule that works best across your shared availability
3. Let Clockwise handle the rest
a. After you have shared your link and your attendees picked a time, Clockwise will send out invites to each of you automatically and sync them across your calendars instantly.
b. Clockwise will automatically add your preferred videoconferencing option (Zoom or Google Meet) to your invite, so there’s no last-minute scramble to find the videoconferencing link
c. After a meeting has been scheduled, Clockwise will send you a confirmation email letting both you and your guest know that the meeting has been added to the calendar.
From the confirmation email, you can click to cancel the meeting if you need to. Clicking the Cancel button will open up a window where you can cancel the meeting and add a reason for canceling
After canceling, an email will be sent to the other attendee notifying them of the cancelation and the reason for it.
FAQs
Q: What if a link I’m sharing does not work?
Check your Clockwise Links dashboard to confirm that your link wasn’t marked as inactive, or your username wasn’t edited.
If your link is marked as inactive, you can toggle it back to active status. Then, that link should work.
If your username has been edited, you will need to resend the link.
Q: Can I edit a link once it’s created already?
Yes. You can edit a link directly from your Clockwise Links dashboard.
Q: Who can I share a Clockwise Link with?
Anyone!
Q: How long does a Clockwise Link stay active for?
A Clockwise Link will remain active as long as the owner of the link is a Clockwise user. If the owner deactivates their Clockwise account, their links become inactive immediately
Q: Can I use Clockwise Links as a non-Clockwise user?
You must be a Clockwise user to create and send Clockwise Links. You can request access to Links, and get started with Clockwise for free here.
Q: Does my meeting attendee need to be a Clockwise user to use Clockwise Links?
No.
Q: Can my attendees reschedule a meeting?
Once a Google Calendar invite has been created, your meeting attendees can reschedule by directly editing the GCal event.
Q: Is Clockwise Links free to use?
Currently, it’s free to use Clockwise Links in 2022 while the product is in beta.
Q: Will Clockwise move a meeting I have with someone who doesn't work at my company if I mark it as flexible?
No – currently, Clockwise can only move internal meetings automatically because those are the only people whose availability we can see. We will not move a meeting with an external attendee.
Q: Can I mark meetings scheduled via Clockwise Links as flexible?
No. You cannot enable flexible meetings for an external meeting or a meeting you don't have permission to view, or if it's on a calendar that Clockwise does not have access to.
Q: How do I delete a Link?
Please keep in mind that a link needs to be active before you can delete it. To delete a link, click edit > more options > delete
