Considerations for including a Scheduling Link in your email signature

It's important to remember that anyone who receives an email with your signature can use this link to book time on your calendar, thus affecting your schedule. You will want to assess if your link matches your preferred availability offering, how much time someone can book with you, and the amount of lead time you would prefer to give yourself for a schedule change if someone uses your link to book a meeting with you.

All of these settings can be affected within your Clockwise Scheduling Links page, either by creating a new link or else by editing an existing link setup.

Preferred availability offering

Each availability offering gives your schedule different Focus Time defense: you can maximize your availability for the link user, protect your undisturbed Focus Time in 2-hour+ blocks, or else choose a balanced mix.



Variable meeting time

Clockwise Scheduling Links allows you to select multiple meeting duration lengths for your link-users to select from. You can also set a default for any meeting to help guide the link-user in supporting your schedule preferences.



Lead time

Don't forget to set yourself up for success! While Clockwise will never move your schedule with anything less than 20 hours of lead-time, Scheduling Links allow someone to book as soon as possible unless you set a booking limit. You can enable this under your link's Booking limits and select how many hours from receiving the link a user may book within.




Note: Because email is static, assume that a user might choose to book a meeting the moment you are offline for the day, which can change your morning agenda if they choose your first available time slot in the morning if your meeting hours allow for it.



Including your Scheduling Link in your email signature

Google

  1. Open Gmail in your web browser.
  2. At the top right, click Settings > See all settings.

  2. Open your Clockwise Scheduling Links page.
  3. Copy the link that matches your preferred availability offering. Remember that anyone who receives an email with your signature can use this link. If nothing quite matches your preference, create a new link, then copy the new link.



  1. Add your link to your signature by typing what you'd like the display text to say, highlighting it, then pressing the link button. Paste in your Scheduling Link's URL and click okay to save.


Microsoft


  1. Open Outlook in your web browser.
  2. At the top right, click Settings > Mail > Compose and reply.
