Create Your Clockwise Link

Creating a Clockwise Link allows you to put booking in control of whomever you're meeting with while upholding your Focus Time in the background. It gives flexibility to the person booking and maintains a schedule that works for you by allowing a variety of meeting variables to be set on the back end, from meeting duration, availability, and asking so pre-qualifying questions to completing the time booked.

Create your link 

  1. Head to your Links dashboard.
  2. Click Edit username, and choose a personalized Links URL.

 

Brand your link landing page

You can choose to display your company logo on your Scheduling Links pages that you share with others.

  1. Head to your Scheduling Links page and click on the View settings button on the top right of the page.

  2. Add your logo file.

Create your meeting

This setup creates a shareable meeting link with the minimum setup and default settings. To customize further, scroll down to learn more about the additional features you can enable.

  1. From your Links Dashboard, click Create a link.
  2. On the left-hand side of the page, name your link. This field is what you'll see in your list of links, so could help identify the link preferences set.

    Note: Your invitees will see this named field in the link URL (unless modified as described below) and on the booking landing page. The Booked Event Title field, as described in detail below, is what the event will be named on your calendar.

  3. Set the mandatory meeting preferences: 
    • Duration of the meeting: You can select multiple different meeting duration options so bookers can choose their preferred length. You can also tell Clockwise what the default meeting duration should be.

    • When you want the meeting scheduled: Choose a date range, or a number of days in the future

    • Hours offered of your availability: meeting, working, or custom – including date-specific hours

  4. Moving to the right-hand side of the page, for Teams plans and above, decide whether you want to maximize availability, protect Focus Time, or set a balance of both:
    a. Maximum availability makes all your Focus Time bookable.
    b. Balance Availability and Focus Time lets people book meeting slots only at the start or end of your Focus Time.
    c. Protect Focus Time disallows people from booking within your protected Focus Time.
  5. When you're finished, click Create Link. A link URL will be generated for you to copy and share right away.

Link activity and URL customization

After your Link has been created, you can see if it is active (and therefor bookable) at the top of the page.

You can customize your link URL here so that the URL is reflective of your specific preferences, otherwise it reflects the title of your link.

Booked Event Title

You can change the format of an event name to set yourself up for the clearest picture of your calendar by changing the title and disallowing the ✨ sparkle emoji default (denoting an externally-booked meeting) in your event if you prefer.

If the suggested formats for meeting-booking are not to your preference, there's a Custom free-form field where you can add your own emoji and default wording, as well as variables that grab data from the meeting-booking form.

By clicking on the variables and entering your own text, you're able to create a format that best fits your calendar look and feel.

Attendees

You can add internal attendees to any meeting by searching for the attendee's email address.

Note: Only Clockwise users will be able to be added to the attendee list this way. If a teammate is not a Clockwise user, they will need to be added via manual invite by editing the event once it is booked.

 

Booking Limits

Booking limits help you fine tune your meeting flexibility.

  • Making a meeting a single-use link allows the meeting parameters to be booked by one user before the meeting setup retires to the 'inactive links' section.
  • Allowing guests to add additional attendees lets those booking a meeting with your provided link to add colleagues to your meeting, and sends an invitation directly to all listed invitees.
  • Disallowing guests to book within a specified amount of hours limits how soon someone can book within your calendar parameters; because new meetings can be booked immediately, select this option to prevent a disruption in your existing schedule for your preferred amount of time.
  • Allowing booking on the 15 minute mark lets guests choose times on the :15 and :45 minute marks of the hours rather than only the top of the hour and the 30 minute marks.
  • Allowing guests to book on your no-meeting day opens up flexibility on your team's NMD and will not alert them to booking on your NMD.
  • Limiting the number of meetings per day/week helps to avoid being overwhelmed by too many meetings.

Highlight Your Best Times

Choose if you'd like to Highlight Your Best Times to make it visually easier to book time that fits best with your schedule. This can alleviate booking concerns on your guest's part while honoring your chosen availability.

Attendee Questions

These are questions that you can include on the booking page. By default, your link will gather the attendee's name and email address. This is a great way to get a pre-qualifier question answered. You can choose to make an answer optional or required.
