Using Clockwise is easy, but here are four quick tips to make sure you're getting the most out of Clockwise right away:
Update your Hours and Availability
During on-boarding, Clockwise asks for your Working Hours but it is just as important to complete your on-boarding in your settings by inputting your meeting preferences as well.
Why do we need both? We use your Working Hours to calculate how much Focus Time you have. For example, if your working hours are 8 to 6 every day, but your meeting hours are 9 to 5, scheduling a meeting at 9am could be interrupting a block of Focus Time.
To customize your working hours differently throughout the week, uncheck "My working hours are the same every Monday - Friday" and your options for every day of the week will unfurl.
To customize your meeting hours to be different than your working hours, uncheck "My meeting hours are the same as my working hours". Imagine if you start work at 8am but you'd prefer to have your first meeting at 9am and you probably wouldn't want a meeting to be scheduled at 4:30pm on a Friday, even though you technically work until 5pm.
This is where you can customize your meeting preferences to work exactly the way you like.
Your meeting hours are very important. Clockwise scheduling suggestions and Autopilot meeting moves are always within your meeting hours.
Set up your weekly Focus Time goals
Setting up your weekly Focus Time goals will allow you to protect the right amount of Focus Time per week while maintaining a sense of availability on your calendar. This may me useful for managers who want to keep their schedules relatively open so their reports can schedule ad hoc meetings or this is also ideal for people who schedule a lot of external meetings.
Set your weekly Focus Time goals in Settings>Focus Time, lunch, and travel time>Check the option "Schedule x hours Focus Time per week". Use the drop down menu to choose exactly how many hours you'd like to protect.
If you don't need Focus Time goals per week and you'd like to protect as much time as possible, select "Schedule all my available Focus Time". This option will allow Clockwise to protect every slot of 2 hours or more uninterrupted time in your calendar as Focus Time.
Put a meeting on Autopilot
If using the Clockwise Chrome extension, click on any meeting, and toggle on Autopilot to let Clockwise automatically move it to the least disruptive time. The more meetings on Autopilot, the more Focus Time Clockwise can create for you and your team.
If using the Web App, view all the meetings that are eligible for Autopilot from the "Suggested for Autopilot" section in the bottom left of your screen. Click on the meeting and toggle the Autopilot button to turn it on, then choose your preferences on how flexible you are about meeting moves.
Consult Team Analytics
Consult the Team Analytics tab to surface how much Focus Time and meeting time you and your teammates have. Click on an individual avatar or card to view deeper information. Here is where you can uncover opportunities to improve your schedule or validate on the improvements you've already implemented.
*Team Analytics is only available within the Chrome extension at this time. If you'd like to use this feature download the Clockwise Chrome extensions.
