How to get started with Clockwise

Using Clockwise is easy, but here are four quick tips to make sure you're getting the most out of Clockwise right away. 

To get yourself set up follow these quick steps:

  1. Set your working hours and meeting preferences
  2. Set your focus time goal
  3. Mark your meetings as flexible
  4. Consult your analytics

Set your Working Hours and Availability for meetings

During onboarding, Clockwise asks for your Working Hours and availability for meetings.

You are able to set multiple split hours if you break up your work day, or work overnight shifts.

On the right hand of the screen, you will see a visual of what your day will look like. Click Next to complete this step to set your working hours. 

Updating your Working Hours and Availability

  1. Navigate to Your ideal day.
  2. Scroll to When do you start and stop working each day?.
  3. You will see a display of your previously set working hours where you will be able to update the hours to your desired preference.

    While in this setting window:
    • You can select and deselect the days of the week you work.
    • You can click on the plus sign to add split hours during your workday, which is how you'll set up an overnight shift:
    • If your workday looks like the same day by day you can click on copy times to all after setting the first day of the week and Clockwise will add the same hours for the rest of your workweek. 
    • The same applies to the settings you want to set for your meeting availability.
Note: Flexible meeting and Focus Time optimization will respond to your working hours set in Clockwise so Clockwise will not set Focus Time or move flexible meetings outside your defined working hours. 

Set up your weekly Focus Time goals

Setting up your weekly Focus Time goals will allow you to protect the right amount of Focus Time per week while maintaining a sense of availability on your calendar. This may me useful for managers who want to keep their schedules relatively open so their reports can schedule ad hoc meetings or this is also ideal for people who schedule a lot of external meetings.

Set your weekly Focus Time goals in Your Ideal Day.

Select the option Schedule x hours Focus Time per week. Use the drop down menu to choose exactly how many hours you'd like to protect.

Make your meetings flexible

Using the Web App, view all the meetings that are eligible for flexible meetings from the Flexible Meeting tab. You can toggle on eligible meetings here from the Suggestions section, then choose your preferences on how flexible you are about meeting moves. This is also where you can manage your existing Flexible Meetings' flexibility settings for cadence and available days. This is especially helpful for managing your recurring flexible meetings.

You may also toggle an individual meeting to be flexible directly from the Clockwise Planner page. Click on the meeting and you can alter the flexibility in the right-hand column that shows the meeting details.

If using the Clockwise Chrome extension, click on any meeting, and make a meeting flexible to let Clockwise automatically move it to the least disruptive time. The more flexible meetings you have, the more Focus Time Clockwise can create for you and your team.

Note: Clockwise flexibility adjustments are available only to Google-based organizations. Microsoft users must use the Clockwise web application to make Flexible Meeting adjustments.

Check Out Personal Stats

Heading to Clockwise Home will show you a heads-up display of what your week's looking like. Here is where you can uncover opportunities to improve your schedule or validate on the improvements you've already implemented. 

Consult Organization Analytics

Consult the Organization Analytics tab to surface how much Focus Time and meeting time your teammates have. This can be helpful understanding how Clockwise is working for your organization and how many conflicts it's able to resolve.
