If you have meetings spread throughout your day it can be challenging to have the time to sit down and get your work done. Clockwise can help you find and protect blocks of focus time on your calendar that are 2+ hours long so that you can get more done. Here are three steps to start finding more uninterrupted time, including:
Protect your Focus Time and define your preferences
Clockwise can automatically schedule blocks of Focus Time on your calendar each week so that you don’t have to think about it!
To create Focus Time holds on your calendar:
- Navigate to your Settings
- Open the section for "Smart Holds"
- Scroll down to the "Focus Time" section and "Schedule Focus Time on your Calendar?"
- Toggle the option for "Automatically schedule Focus Time events on my calendar"
Next, let Clockwise know when you prefer to have your focus time, either in the morning or afternoon.
Then, think about how many hours of focus time you will need each week and set it as your goal. The number of hours you need will depend on your role and how full your calendar is. Make sure you don’t schedule too many hours of focus time, you will want to leave some white space on your calendar for ad-hoc meetings.
Customize your Focus Time holds
After Clockwise creates Focus Time on your calendar you can edit it to make it work for you. If needed, adjust the length of your focus time block (make it longer or shorter) by dragging the bottom of the event up or down.
To prevent teammates from scheduling over your Focus Time, you can edit the title of your Focus Time event to reflect the tasks you are working on during that time. You could also add “DNS” or “Do Not Schedule.” If you are collaborating with teammates, you can invite them to your Focus Time event
Create More Focus Time
To free up space on your calendar for Focus Time, mark some meetings as Flexible. Recurring internal meetings with 1-2 other participants are the best candidates to mark as flexible.
Once per day Clockwise will optimize your calendar and might move your flexible meetings to better times. Clockwise will only move your flexible meetings if doing so will create more Focus Time or resolve meeting conflicts for you or your teammates.
When you mark a meeting as flexible decide if you want to give Clockwise the ability to move the meeting within the day or within the week. You can also specify the time of day you’d like the meeting to occur (only available on paid plans).
